Full Job Description

The primary location of this role will be at our Head Office but agile working across the North Yorkshire region will be required to run activities and events. Specifically Club Wilber activities & events, alongside other activities & events which the Trust participates in.

Purpose of the job:

To support the development and running of a financially sustainable activities and events programme for the charity that includes Club Wilber (Childrens activities), the Living and Learning Zone (LLZ) and third-party community events.

The activities and events will both support our service user groups with social inclusion, fun and learning opportunities and also raise the profile of the charity within the local community.

You will assist with the co-ordination and growth of our volunteers and identify the need for Club Wilber volunteers to support the activities & events., · Report to the Activities and Events Manager

· To support the delivery of the activities and events strategy through delivery of high-quality activities and events, designed to attract new and repeat service users.

· To attend the activities and events where necessary and where required

· Provide a rewarding and inspiring activity experience, building relationships with attendees and service users and providing support where needed

· To work with the Activities and Events Manager to create a financially sustainable programme of activities for Club Wilber and LLZ.

· To work with the Activities and Events Manager to create a financially sustainable programme of activities for children's programme, Club Wilber ensuring that it also supports a calendar of school holidays and specific holiday activities such as Christmas.

· Ensure that all activities and events are fully compliant with legislative and regulatory requirements including health and safety, adult and children safeguarding and the General Data Protection Act (GDPR)

· To seek guidance and advice from the Compliance and Performance Manager to ensure the delivery of the Trust's activities and events is compliant with the relevant and current regulatory requirements.

  • Provide reports for the Activities and Events Manager in an agreed format on activities, events, and volunteers.

  • To keep accurate records, data and statistics of activities and events so that they can be measured against the objectives and targets set.

  • Monitor and evaluate activities and events.

  • Visit groups, clubs and organisations in community settings and use your enthusiasm and knowledge to talk about the work that the Wilberforce Trust does to encourage support, attendance at events and activities and volunteer interest.

  • Work with and provide practical support to colleagues who wish to recruit volunteers.

  • Post adverts, vet applications, arrange and conduct interviews for volunteers ensuring that all volunteers are compliant with our safer recruiting policy.


  • · Assisting with volunteer inductions, their training, and their placement in the organisation

    · To network and build relationships with other organisations where required

    General:
  • Work to agreed deadlines and objectives.

  • To provide updates on any accidents and incidents to the Activities and Events Manager who will then inform the Compliance and Performance Manager

  • To ensure risk assessments are completed for every activity and event.

  • To maintain good practice in the use of the CRM system (Donorfy), ensuring that information is recorded accurately to allow for excellent supporter care, stewardship, and accurate analysis of event performance.

  • To maintain detailed, accurate and up to date records in all areas of your remit

  • To help raise the profile of the Wilberforce Trust and to promote the work that we do through our activities and events.


  • Communication:
  • Work with the Digital Communication Co-ordinator and the Activities and Events Administrator to market our activities and events using a range of methods and within the bounds of GDPR.

  • Produce separate newsletters for Club Wilber, volunteers, LLZ and our activities and events.

  • Inform the Activities and Events Administrator with updates of required thank you correspondence from activities and events.


  • Personnel:

    · Develop and maintain good working relations with all Wilberforce Trust staff.
  • To have the flexibility to work outside office hours as activities and events require.

  • To work independently to tight deadlines

  • Build constructive and open working relationships with all service users of the Trust to ensure a high-quality experience - and invite feedback to inform future developments.

  • To represent the Trust as required

  • To undertake such other duties as the Chief Executive or Trustees may reasonably require from time to time.

    Salary: £25,000.00 per annum

    Hours: Full time - 38 hours per week, flexible as the role requires. Weekends/evenings may be required for events.
