Full Job Description

We're looking for a Field Operations Compliance and Administration Specialist to join our team. Supporting our customer, you'll brief in store activity for a team of Field Merchandisers. Develop, collate, prepare and publish effective and usable compliance updates for Hallmark's key customers (internal and external). The key part of your role will be to manage the relationship with our key customer to agree the in store activity required and report back on compliance updates.

Your main responsibilities will include:

  • Work as an embedded member of the customer's team, and an active part of the Hallmark team, balancing the interests of both parties.

  • Own the compliance data, dashboards and operational outputs required to manage customer SLAs, expectations and contractual obligations.

  • Identify the right data required to fulfil internal and external customer needs. Communicate regularly with the customer users to evolve and improve outputs.

  • Own and develop accurate, consistent and meaningful field activity reports for the customer.

  • Use the data to drive compliance, identifying "so whats" and how the outputs can be improved. Initiate activity to drive improvement and follow through to completion.

  • Build a close working relationship with trading teams and suppliers to access and understand current and future Customer and Business requirements.

  • Own the uploading briefs and compliance documents to the Pepperi system.

  • Develop a close working relationship with the Customer contacts, understanding their ways of working and supporting store communications and compliance presentation.

  • Directly provide compliance reports and dashboards to the customer buying and operations teams, manage feedback and questions direct from the customer. Engage the Field Merchandising team in issue resolution and the provision of updates direct to the customer.

  • Monitor level of activity and spend on activity vs. plan to protect Hallmark's profitability.

  • Support the customer with how product shows up in store, involved in kit development, POS and stock.

  • Support the delivery of field merchandising projects and technology updates, making sure key stakeholders are aligned to delivering the customer brief to the agreed timeline.

  • Engage with suppliers and store colleagues across the estate to challenge non-compliance and work collaboratively to take corrective action, ensuring consistent communication and feedback to the customer.

  • Partner with Field technology and project lead to develop a suite of training materials for the field merchandising team, through video, documentation and Microsoft Teams across the full 1000 plus field team.

  • Manage archiving process for completed compliance and associated imagery.

  • Any other projects that the customer requires.

  • Essential experience in Microsoft Office, Excel, Powerpoint, Word, confident in creating graphs and managing information.

  • Strong analytical skills, confident in using and interpreting data

  • You have strong communication skills and can use these to collaborate with key stakeholders.

  • You are good at developing relationships and operate as a key team player.

  • You will have exceptional planning and organisational skills, with the ability to manage multiple projects from start to finish.

  • You have the ability to move at pace working to tight deadlines.

  • You have great attention to detail and accuracy in presenting data.

  • You will be a highly motivated individual keen to develop your knowledge and skills.

  • Happy to challenge current ways of working, actively looking at simplifying, streamlining existing and new processes to unlock saving opportunities for both HMK and the customer.

  • Full, clean UK driving license with occasional travel required to meet customer demand across the estate.
