Full Job Description

We are seeking a dedicated and proactive Project Support Co-Ordinator to join our team. The successful candidate will play a crucial role in providing effective administrative support to the operational delivery and coordination of our Geospatial Survey division., Provide technical and operational administration to assist the operational survey team with project mobilisation, delivery, and monitoring, ensuring adherence to programme, quality, budget, health and safety, and risk requirements.

- Administer all documentation throughout the development process of projects, from inception to completion.

- Collate plans, drawings, and schedules required for tender documentation and contract documentation.

- Adhering and reporting on data and compliance (project data, missing records, risk assessment completion and QA compliance).,

  • Quotations & Proposals: Prepare and send accurate and timely quotations and proposals in response to client enquiries.

  • Lead Management: Manage leads and client interactions efficiently through our CRM system, ensuring all communication is logged and followed up on promptly.

  • Project Set up & Management: Create projects in our project management tool, overseeing timelines, milestones, and resource allocation.

  • Diary Management & Pre-Survey Planning: Maintain the operations diary and ensure all tasks are scheduled and allocated appropriately. Assist in pre-survey planning activities to ensure smooth project execution.

  • Document Preparation: Generate all necessary documents before project start dates, including contracts, agreements, and permits. Ensure all documents are accurate and comply with relevant regulations and standards.

  • Supplier Liaison: Coordinate with suppliers involved in project completion, ensuring timely delivery of materials and services.

  • Health & Safety Compliance: Generate all required Health & Safety documents, ensuring compliance with relevant regulations and standards.

  • Invoice and Purchase Order Management: Arrange correct invoice details and purchase order details, verifying accuracy and completeness.


  • 9. Reporting: Provide regular reports on lapsed enquiries, reasons for non-conversions, identifying trends and areas for improvement. Provide insights and recommendations for improving lead conversion rates.

    10. Business Development Support: Maintaining strong relationships with existing client, by leveraging our CRM system to align with company KPIs, support our marketing strategy, and integrate with email campaigns.

    Other Responsibilities:

    · Deal with telephone and email enquiries

    · Daily use of our internal BMS Business Management System

    · Update and maintain filing and other office systems, documents

    · Organise and store paperwork, documents, and computer-based information

    · Use of Microsoft packages such as Microsoft Word, Excel, Outlook

    · Data Entry

    · Develop reports as requested

    · Produce and distribute correspondence memos, lettersand forms

  • Qualification in Business Administration/Project Management, Operations Management, or a related field.

  • Proven experience in operations coordination or a similar role.

  • Proficiency in CRM software and project management tools.

  • Excellent organisational and time management skills.

  • Strong attention to detail and problem-solving abilities.

  • Effective communication and interpersonal skills.

  • Ability to work well under pressure and prioritise tasks effectively.

  • Desirable, previously worked in the construction or geospatial industry.
