Full Job Description
Becklands School is seeking a highly organised and detail-oriented individual to join our team as a School Office Manager. The successful candidate will play a pivotal role in ensuring the efficient operation of the school's administrative functions, with a particular focus on health and safety management. This position requires strong organisational skills, excellent communication abilities, and a proactive approach to problem-solving., Office Administration:
- Oversee day-to-day office operations, including managing correspondence, phone calls, and emails.
- Coordinate and schedule appointments, meetings, and events for the school.
- Oversee maintaining an organised filing system and manage record-keeping.
- Conduct regular audits of health and safety procedures to ensure compliance with regulations and school policies.
- Collaborate with relevant stakeholders to develop and implement health and safety policies and procedures.
- ensuring health and safety protocols and emergency procedures are followed.
- Investigate and report incidents, accidents, and near misses, and implement corrective actions.
- Act as a liaison between staff, students, parents, and external stakeholders.
- Coordinate with various departments to ensure effective communication and collaboration.
- Disseminate important information to relevant parties in a timely manner.
- Maintain accurate and up-to-date student records, ensuring compliance with data protection regulations.
- Assist with the enrolment and registration process for new and returning students.
- Monitor and record student attendance.
- Coordinate with teachers and parents to manage student absences and maintain accurate attendance records.
- Assist in the preparation and monitoring of the school budget with the finance team.
- Process financial transactions, including invoicing, payments, and petty cash management.
- Assist in the recruitment process by coordinating interviews and maintaining applicant records.
- Support staff with HR-related inquiries and assist in the onboarding process for new employees.
- Oversee the completion of all safer recruitment checks.
- Sickness - Recording absences, completing return to works and monitoring absences.
- Coordinate and support school events, meetings, and conferences.
- Liaise with parents, staff, and external partners to ensure the smooth execution of events.
- Provide supervision and guidance to administrative support staff.
- Conduct training sessions for office staff on administrative processes and procedures.
- Undertake additional tasks and projects as assigned by the Headteacher to support the overall functioning of the school.
- Coordinate procurement of office supplies and equipment as needed.
- Produce reports
- Run reports from MIS programmes
- Ability to be versatile and support and deliver in classrooms if required.
Previous experience in office management or a related administrative role. - Knowledge of health and safety regulations and experience in conducting audits.
- Excellent organisational, multitasking, and time-management skills.
- Strong interpersonal and communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to work independently and collaboratively in a fast-paced environment.
- Familiarity with the education sector is an advantage.
- Must hold a minimum of Level 2 in Maths and English
